Office Manager & Sales Admin

This incumbent performs administrative duties for one or several functional departments / managers / leaders.
Responsibilities:
- Create and distribute departmental reports / announcements as needed.
- Maintains files and calendars as needed.
- Assists in the preparation of reports, graphs and presentations using spreadsheets and graphic software. May assist with routine set-up of equipment for meetings.
- Acts as information source on organization policies and procedures.
- Makes appointments and coordinates travel arrangements and meeting logistics as assigned.
- May assist in sales contracts, reports, and verifying information.
- May be required to maintain service training calendar and rosters.
- May assist manager with coordination of departmental budgets including checking and verifying expenses each month and updating budget forecasts.
- Has access to confidential information.
Office Regional Admin additional duties in additional to Office Admin duties:
• Takes a lead role in planning regional office activiites and ‘webinars”.
• Select and/or coordinate vedors to ensure successful event; working at all times to keep costs within budget for event.
• Order gifts and awards as needed for meetings and/or events.
• Serves as main contact person for regional field office for facilities and buiding matters and internal contact with Lawson corporate or other regional offices.
• May support the contact administration department, salesforce.com system, administrative support and backup for sales organization including logging and scanning contracts and maintaining master contract files.
Qualifications:
• An university degree or higher (preferably in IT or similar specialisation)
• Requires 2-4 years related experience.
• Excellent verbal and written communication skills required.
• Thorough knowledge of company organization along with policies and procedures.
• Thorough knowledge of Microsoft products.
• Strong attention to detail required.
• Strong organizational skills.
• Ability to work independently on projects.
• Good English both in oral and written is essential.
