Assistant to the CEO, Beijing
at KAI Gallery/ FitzGerald Fine Arts in Beijing
KAI Gallery and FitzGerald Fine Arts are an established and rapidly growing Fine Arts business with diverse operations in New York and Beijing. They are looking for an Assistant to the CEO to oversee daily operations in Beijing and to liaise with the New York offices. The candidate should have substantial prior experience doing managing business operations in Beijing. Open communication and teamwork is essential for working within our dynamic and enthusiastic environment. The opportunity exists to drive the organization's growth.
Duties & Responsibilities:
Strategy/ Development/ Project Management
-Develop strategies and plans to drive awareness, audience growth, engagement, and affinity for KAI Gallery/ FitzGerald Fine Arts’ award- winning artists & programming.
-Work directly with ownership and U.S. Management Team to develop creative, cohesive and impactful Sales (e-commerce) marketing plans and business plans for operations in China.
-Facilitate Arts related projects (exhibitions, events, digital marketing) from initial concept to final execution, looping in U.S. Management Team along the way and ensuring that things stay on time, in scope, and under budget.
-Work with external creative teams (PR Firm & Digital Agency) on developing marketing strategies that align with objectives and the overall business plan.
-Analyze and keep abreast of competition and market trends to assist in the development of new marketing programs and strategies to reach new art buyers.
-Coordinate with external Fine Arts contractors (logistics, creative, sales) to coordinate teams in project management of opportunities that will arise as the brand names grow in China.
-Know the Industry Standards of China’s art market and maintain reliable network of Fine Arts contractors with clear understanding of costs & rates associated with Fine Arts contracting.
Accounting / Finance
-Oversee and co-ordinate on the preparation of the quarterly and annual financial report for management’s review and analysis
-Assist and co-ordinate with the Director to prepare the annual budget
-Create monthly cash flow reports and profit/ loss statements
-Oversee accounting books for main company and three subsidiaries
- Review weekly payments and summarize payments to ownership
- Review monthly bank reconciliations
-Receive / enter monthly journal entries from China subsidiary into QuickBooks
-Oversee accounting firm’s process of 1099’s, 1042’s & W2’s
-Maintain online payment accounts (Online banking, PayPal)
-Oversee quarterly sales tax payments
-Provide project-based Expense Reports
-Ensuring compliance with the firm’s policies and protocol related to the purchasing, receiving, billing and inventory functions and reviewing the accuracy of coding for all purchases
-Create and manage Sales Invoicing in both ArtBase (inventory database) and QuickBooks
Insurance
-Manage all Insurance policies & contracts and review/ modify policies & endorsements as needed
-Process insurance claims as needed
-Assist the Head of Logistics with transit insurance
Human Resources
-Process semi-monthly payroll/ enroll new employees
-Employee benefits program management
Requirements
-3+ years of experience in business management within China
-Bilingual – English & Mandarin
-Experience in a start-up / entrepreneurial environment as a “builder”
-Solid understanding of analysis and financial management
-Strong project management experience and proven ability to partner with and influence others (including senior stakeholders)
-Demonstrated experience in the cultivation and enhancement of the customer experience in luxury retail environment
-Background in coaching and developing staff
-Proficiency in QuickBooks and MS Office (specifically Excel)
-Excellent organizational skills to enable successful management of multiple tasks done in a timely manner within a fast-paces and demanding environment
Education
-Bachelor’s Degree (Business Administration or Accounting focus preferred)
